The bookkeeper
The shop spends, you type
The bookkeeper is the clerk you don't have to hire. One principle: the person who spent the money is the person who records it. They type it, or photograph the receipt, into their own chat with the bot on the LINE they already use, and the keying-in step in the middle disappears entirely.
For any business where staff spend on the owner's behalf, whatever you sell: restaurants, hotels, shops, garages, clinics.
What every business with staff runs into
Several people spend, one person types
Fuel, stock for the shop, delivery charges. The team pays for things separately, then the receipts arrive in one pile. In the end somebody sits down and types them into a table one line at a time.
Receipts arrive later than the money left
Paid on Monday, the receipt turns up on Friday, and by the time it gets entered nobody remembers what it was for or whose it was.
You only find out the total at month end
Mid-month nobody can tell you how much has gone out or which category is running away, and by the time you know it's too late to do anything about it.
How it works
Staff file into their own chat with the bot; the shop's totals come out in the staff LINE group you already have. Both are LINE, which they already use. No app for anyone to install, nothing new to learn, no user account.
- 01
Staff type it when they pay
In their own chat with the bot they type จ่าย ค่าน้ำมัน 500 or เบิก ค่าของเข้าร้าน 1200. Use one of the words จ่าย, เบิก or รายจ่าย (all mean spent or drawn) first, then what it was for, then the amount last. The system pulls out the item and the figure by itself. Those trigger words are Thai because the bot matches them literally.
- 02
Or photograph the receipt and send it
Photograph the receipt into the same chat, right after the line you just typed, and the AI reads the total off it and attaches it to that row. If it can't read it, it doesn't guess. It asks for a person to look. A photo is only read when that person has a row waiting for evidence, so no other picture becomes a row or costs a vision call.
- 03
It writes to the sheet immediately, with who recorded it
An Expenses tab is created for you, holding the date, the item, the amount, the category and who entered it. Open it whenever you like.
- 04
Ask for the total any time
Type สรุปวันนี้ (today's summary) or สรุปเดือนนี้ (this month's summary) in the group and you get the total straight away, split by the categories you set.
- 05
The figures are never stale
A new entry recalculates the total there and then. It is not a number left over from this morning.
What you get
Nobody has to key anything in again
The person who spent the money is the one who recorded it. The collecting-and-typing step is gone, not merely faster.
Know the total mid-month, not at month end
Ask any time how much has gone out and which category is unusually high, while there is still time to do something about it.
Staff learn nothing new
They type into the LINE they're already in all day. No app to install, no password to forget.
The data is in your own sheet
Hand it to your accountant, build your own chart, export it. Nothing to request from us.
How this differs from an ordinary expense app
The last one is something we deliberately do not do, and it is why this is the safest of the three.
The person who spends is the person who records
An ordinary app moves the typing onto a phone, but it is still the same person doing the typing. Ours moves it to whoever spent the money, at the moment they spent it, the only moment they still remember what it was for.
It lives where the team already is
No new app for staff to install, no account to create. Whether it actually gets used doesn't depend on who is diligent about opening an app.
A photo is enough. No typing
A readable receipt gets read. An unreadable one is reported as unreadable. It does not put a guessed number into your books.
It never touches customer money
It records only what staff typed or photographed. It has nothing to do with money customers transfer in, and it confirms nothing on its own. It is a notebook, not an approval system, which makes the cost of a mistake here the lowest of the three.
Limits we'll tell you first
The first one matters most, because it is the thing people assume they're getting and are not. Read it before you decide.
It knows money out, not money in
It can total your spending, but it does not know your sales, so it cannot tell you this month's profit. If you want a profit figure, you still take the expenses out of the sheet and subtract them yourself. This is the first thing being built.
It is not accounting software and it does not file tax
No chart of accounts, no input/output VAT, no statements. It is an expense book that fills itself in. Hand it to whoever does your accounts. It does not replace them.
It does not read bank statements
It records only what staff typed or photographed. A transaction nobody filed is a transaction the system does not know about.
It does not compare month to month yet
It can tell you what you spent this month, but it will not tell you on its own which category is up what percentage on last month.
No shop is running it in production yet
It is finished and fully tested, but no shop uses it day to day. You would be the first, and we do all the setup and tuning ourselves.

Want to watch your team try it
Message us on LINE. We'll set up a trial bot and have your team file two or three real expenses, so you can see whether it writes them to the sheet correctly before you decide anything.
